ENGR Exchange Email Migration to AEMS

The ENGR Exchange Server will be retired May 29, 2009.  All ENGR mailboxes will be migrated to Austin Exchange Messaging Services (AEMS) over Memorial Day Weekend starting at 7:00 pm May 22, 2009.

FAQs

  1. Does my email address change?
    • No.  Your email address will not change, nor will you have to change any forwarding from another addresses to your @engr.utexas.edu address.
  2. Do I need to request my own mailbox and move my own data?
    • No. 
  3. What do I need to do to prepare?
    • For most users, you do not need to do anything to prepare.
    • If you use rules extensively, you should export your rules, please follow these instructions
    • If you use Personal Folders (.pst files) to archive your mail. You should note where your .pst files are located. (In Outlook: File>Data File Management."
       
  4. Can I move before Memorial Day weekend?
    • Possibly.  Please contact the ENGR IT Service Desk and let us know your circumstances, 232-2486.
  5. What do I do on Tuesday May 26?
    • Windows workstations and laptops in the Dean's Office and managed Departmental computers in the Austin Active Directory Domain (You login with your EID and EID Password):  Outlook will automatically be reconfigured to point to AEMS.
    • Workstations and Laptops NOT in the Austin Domain:  individuals will need to reconfigure their email client following the directions for their specific client on the web page:  http://www.utexas.edu/its/messaging/answers/index.php
    • Entourage Users should visit the the ITS Entourage configuration page. Please pay special attention to Step 8: be sure to enter your eid@austin.utexas.edu for your email address (try firstname.lastname@engr.utexas.edu if the austin address does not work). This will not change your email address. It is simply used to make sure you can access your account.
    • Additional Tasks for All Users: 
      • Calendar share permissions will have to be reset.  For Dean's office computers and managed Departmental computers in the Austin Active Directory computers:  A report will be available with the permissions you had on your ENGR mailbox.
      • Any personal folders (.pst files) or Archive files (.pst files) will have to be reconnected to your Outlook folder list.  For Dean's office computers and managed Departmental computers in the Austin Active Directory computers:  A report will be available with the permissions you had on your ENGR mailbox.
      • Rules will have to be either re-created or edited to move mail to the correct folder
  6. Over the Memorial Day weekend, how can I access my mail and how do I know when my mailbox has moved?
    • First check the ENGR Exchange server via the web:  https://mail.engr.utexas.edu
    • If you get an error message and cannot access your ENGR mailbox via the web, then your mailbox has been moved.
    • Then, you can check your AEMS mailbox via the web:  https://wmail.austin.utexas.edu/owa.  Login with your UT EID and UT EID password.
  7. Do all of my settings move?
    • Most do. 
    • Calendar Permissions will need to be reconfigured.
      • To give someone permissions to your calendar
        • Right-click on your "Calendar"
        • Go to the Permissions tab
        • Add user and give them the desired permissions.
    • Personal Folders (.pst files) and Archive folders (.pst files) will have to be reconnected to Outlook.
      • To add a personal folder to your Outlook 2007 folder list
        • File>Data file management
        • Go to the Data tab
        • Select Add>Outlook personal folder
        • Browse to the file, select OK>OK>Close.
    • Rules will need to be reconfigured.
      • For rules that move mail to a folder, the folder will have to be re-selected.
  8. What about my PDA or iPhone?
    • These devices will need to be reconfigured.  Follow the instructions on the following web page to reconfigure your device, http://www.utexas.edu/its/messaging/answers/index.php.
    • iPhone Users:  Please note that if you do NOT currently sync contacts with the Exchange server, you do NOT want to use the auto-configure web page.  You will want to manually configure your iPhone.

  10. Will I be able to get my mail over Memorial Day weekend?
  11. What is my quota on AEMS?
    • The default quota is 200 MB.  The Dean will pay for all faculty and staff to 1 GB.
    • Some departments will be paying for additional 1 GB for their faculty and some staff, for the maximum size of 2 GB.  You will need to contact your Department IT representative to learn the details about your department.
    • Maximum quota on AEMS is 2 GB.  Individuals may pay $7 per GB.
  12. What happens to our resource mailboxes (calendars and vanity mailboxes)?
    • All resource mailboxes are being moved to AEMS.
    • They will have a 200 MB quota.
    • Permissions will be setup as they were on the ENGR Exchange server.
  13. How do I schedule a room for my meeting?
    • All rooms that were available for scheduling on the ENGR Exchange server are available on AEMS.  However, the display name of the room has changed.
    • Rooms can be found in the Global Address List with the following name:
      • Building Floor.Room#
      • For example, ECJ 4.608
    • In Outlook from the calendar view:
      • Actions>Plan a meeting
      • Add Others
      • Add Attendees from the Global Address List to "Required" field.  Note: Most user's display name is "Lastname, Firstname", but there are some who may have chosen "First Last".  You can always choose "Advanced Search" and search for their last name.
      • Add the room to the "Resource" field.
  14. Where is my distribution list?
    • Distribution lists that were previously in the ENGR Global Address List are now in the AEMS Global Address List.  In some cases, the name has changed.  Most names will be prefixed with "ENGR-"
    • If you had a distribution list that was previously in your personal contacts and it did not migrate, please contact the Service Desk, and we will be able to retrieve it for you.
  15. Where is my Public Folder?
    • Public folders will be moved to AEMS public folders on Friday May 29.  They will be located under the top-level folder "ENGR".
  16. Who qualifies for an AEMS mailbox?
    • All faculty and staff
    • Students who are employed by the University
    • Others sponsored by a Unit or Department
