The Scholarship Process
The information below summarizes the process for collecting your scholarship funds, assuming you have either a Cockrell School of Engineering Scholarship or a scholarship processed through the Engineering Scholarship Program:
- Carefully read the Engineering Scholarship Program General Regulations and Procedures.
- Ensure that you enroll in Engineering for at least 14 credit hours - with 12 credit hours toward your Engineering degree - or have completed an Less Than 14 Hours Form. First year students are exempt from the 14 hour rule for their first semester, but must still take 12 credit hours to be considered a full time student.
Fall Scholarships:
Write a thank you letter to the person(s) identified for your scholarship and submit it online to the Engineering Scholarship Program.
- Log in to the Engineering Scholarship Student Menu using your UT EID
- Click on "View My Scholarship/Fellowship Awards"
- Click on the scholarship code listed for the year current academic year
- Click on "Thank You Information" to view your thank you letter contact(s)
- If your scholarship has multiple thank you contacts listed, you will need to submit a letter for each of the contacts. You may submit each letter separately, or as multiple pages within one file. Thank you letters can be submitted as .doc, .txt or .rtf files.
- Click on “Background Information” to find out more about your scholarship and the donor/honoree
- Click on "Submit Thank You Letter" to upload your thank you letter online
- Once you submit your thank you letter, it will be sent via email to the Engineering Scholarship Program where we will proof and print your letter. You will be copied on the submission via the email address you enter, so you will know it was submitted properly. You will sign your letter when you come into the office to release your check.
- Thank you letters must be submitted electronically by July 31st. DO NOT mail the thank you letter directly to the person identified or the release of your scholarship will be delayed!
- Come to the Engineering Scholarship Program, ECJ 2.106, beginning the first class day.
- After you submit your thank you letter and come by the Engineering Scholarship Program, your check will be mailed to you or electronically deposited into your bank with an Electronic Funds Transfer (EFT). If you wish to have your check direct deposited, then complete your bank information online through UT Direct in the “My Bank Information” section.
- If you chose to have your check direct deposited, you will receive an email from the University confirming that your check has been deposited into your bank account. Direct deposit can take up to three business days to reach your bank account. As long as you do not have any outstanding financial bars with the University, you will receive funds in the amount of half your scholarship award after we release your check. If you have any outstanding financial bars, such as parking tickets or library fines, those amounts will be deducted from your award amount.
- Your funds will not be distributed to you unless your registration is considered complete with the Registrar’s Office. This means at least 50% of your tuition and fee bill must be paid, or deferred to financial aid at the time we release your check in August. If you have financial aid from the University, such as loans, grants or other scholarships, you may be able to use those funds to pay your tuition bill. Engineering Scholarships can not be used to satisfy the minimum 50% tuition payment.
Spring Scholarships:
- Go by the Engineering Scholarship Program Office, ECJ 2.106, between the first class day of the spring semester and the last class day in February.
- Your scholarship will be released and deposited in your bank account after you come by the office.
Scholarships not picked up by the dates specified above (October 1 in fall and February 28 in spring) are subject to cancellation and would be redistributed to other deserving students.
Engineering Scholarships are not automatically applied to your tuition and fees and the scholarship will not show up on your financial aid award package until the Engineering Scholarship Program enters it into the system. This typically occurs during the month prior to the beginning of a semester.
TIMELINE Summary
