Design Approval

To build strong brand recognition, the Cockrell School of Engineering and The University of Texas at Austin have policies to regulate the official trademarks and logos. Please visit the Cockrell School's Visual Guidelines page for additional logo information.

Only officially sponsored UT Austin organizations, departments, and administrative offices can design and purchase materials that include trademarks from The University of Texas at Austin, and design approval is required from the Cockrell School and the University’s Trademark Licensing Office

Examples of Protected Marks:

  • Endorsed UT Austin word mark
  • Interlocking UT Austin logo
  • Longhorn silhouette
  • The words “Texas” or “Cockrell School” or any variation of the school name
  • Cockrell School and engineering department logos

 


NOTE: Engineering Student Organizations must submit all designs regardless of content before ordering.

Approval Procedures

Approval from both the Cockrell School of Engineering and The University of Texas at Austin is required PRIOR TO ordering any materials from a licensed UT Austin vendor. To expedite the approval process for the numerous Cockrell School departments, units, student groups, faculty and staff who utilize officially trademarked identities and purchase promotional materials, the Cockrell School has developed the following procedure:

First time users, must create a profile to use the Trademarks Internal Request Portal.

  1. Visit https://trademarks.utexas.edu/ and click "log in", then enter your EID and password.
  2. The "create profile" page will appear.
  3. Fill in all the required fields.
  4. Under the "Departments/Colleges/Schools/Divisions" section, select "Cockrell School of Engineering", then click "save".

Before submitting a request, you must have:

  1. A single PDF document of the artwork.
    • No other file types are accepted.
    • If there are multiple imprints/designs on your product (such as a t-shirt design with separate front and back designs), please combine into one PDF.
  2. A price estimate for the UT-approved vendor who will produce your product.

To submit a request through the Trademarks Internal Request Portal:

  1. Visit https://portal.trademarks.utexas.edu/ and click "log in", then enter your EID and password.
  2. You will be taken to the "My Requests" page. Click "+ Submit a New Request".
  3. In the Department/College/School/Division" dropdown menu, select "Cockrell School of Engineering".
  4. Under "*Organization/Club" please provide the name of your student group, program (e.g. Equal Opportunity in Engineering), or department within engineering (e.g. Biomedical Engineering).
  5. Complete the rest of the required fields. If your vendor isn't listed, select "Custom Vendor" and manually enter your information. Please remember that you must use an approved UT vendor.

Review Process

If you are a student group (registered or sponsored):

  1. ALL apparel and print and promotional items ordered by Cockrell School of Engineering student organizations require prior approval by Engineering Student Life.
  2. Once reviewed and approved by Engineering Student Life, it will be..
    1. (If use protected marks or words) sent to The University of Texas at Austin's Trademark Licensing Office for approval.
    2. (If use NO protected marks) sent to Susan Higginbotham for payment authorization.
  3. Once approved (approx. 8-10 business days), the Trademark Licensing Office will notify the print vendor directly. You will be notified by the system of the changes in your request's status.

If you are a faculty or staff member:

  1. You submit your request online.
    IMPORTANT NOTE: Please submit the proposed design/graphic along with the form for each request.
  2. Once reviewed and approved by Cockrell School Communications, it will be sent to The University of Texas at Austin's Trademark Licensing Office for approval.
  3. Once approved (approx. 8-10 business days), the Trademark Licensing Office will notify the print vendor directly. You will be notified by the system of the changes in your request's status.

Payment to Vendors
The university generally uses two forms of payment:

  • A Pro-Card is a UT credit card and can be used with approved vendors only. Important Note to Student Organizations: Use of the Pro-Card requires approval by the Engineering Student Life Office PRIOR to ordering. Student organizations must have sufficient funds in their Cockrell School account to cover costs. The Pro-Card may not be used to purchase items for resale.
  • A Purchase Order (PO) is a promise from the university to pay. Check with the vendor to see if they accept purchase orders.
