Glass Cases

This policy sets the rules and regulations for the use of the glass cases on the first floor of the Ernest Cockrell Jr. Hall (ECJ).

Administration

Engineering Student Life (ESL) will monitor the use of the glass cases, as well as:

  1. Make any decisions concerning changes in the Glass Cases Policy to be approved by CSE student organization presidents.
  2. Contact organization representatives concerning policy changes or temporary probation.
  3. Check the glass cases once per month for proper usage.
  4. Distribute reminders in the form of e-mails and/or telephone calls to change cases each semester.
  5. Clean out glass cases when representatives of the organizations neglect to respond to the probation warning (see below).
  6. Assign or reassign glass cases to organizations when necessary.

Maintenance

All dated items (calendars, phone listings, officers, etc.) must be changed in a timely manner. If a glass case is not kept current, the organization will be placed on probation for one month. If the case still is not updated, case privileges will be revoked and the organization must petition for another glass case to begin use in the next semester. NOTE: Information for the fall semester may be displayed during the summer months.

Changes in the Glass Cases Policy must be approved by the Engineering Student Society/organization presidents at their monthly meetings.

Access

The key to the glass cases may be checked out from Engineering Student Life (ECJ 1.224) during regular business hours.

Selection

Student organization representatives must sign up and select three choices for glass case positions (see ECJ ground floor diagram for positions). ESL will review the bids and make selections using the allocation system described below as more cases are added.

Allocation

The following allocations are established to ensure fair distribution of the glass cases:

Y Student Engineering Council
C-X Distributed in the manner described below
  1. Architectural and Civil Engineering Honor Societies will each receive an individual glass case (Phi Alpha Epsilon and Chi Epsilon).
  2. All student societies/organizations with offices on the first floor of ECJ will receive an individual glass case (NSBE, Pi Sigma Pi, SHPE, SWE).
  3. The professional and honor societies within the same department will receive a glass case to share (e.g. ASME and Pi Tau Sigma).
  4. All other engineering societies/organizations will be matched in pairs and assigned a glass case to share.

Types of Organizations

Registered

Majority of UT Austin student organizations are registered organizations. For more information about becoming a registered student organization visit the Student Activities Web site.

Sponsored

Sponsored organizations are registered student organizations that have a close relationship with a university department, program or office. Sponsorship requires support, endorsement, supervision and the assumption of responsibility for the actions and activities of the sponsored organization. In order to be sponsored by the university and the Cockrell School, a registered student organization must complete additional steps and receive ESL approval.
